Spartan Race Gets Up & Running with IntelAgree in 35 Days.

Overview

When Spartan Race (Spartan) decided not to renew its contract with its previous CLM software provider, the company faced a unique challenge: finding a comprehensive workflow tool that could launch in five weeks or less to deliver high volume contract services and maintain critical access to agreements after the existing platform contract expired. That's why Spartan's legal department turned to IntelAgree — it was the only CLM software provider they could trust to successfully implement an enterprise solution under such a tight deadline.

Solution

From Discovery to Deployment in 35 Days

After realizing Spartan's legacy CLM platform was too difficult to modify and had inadequate customer support, Spartan's legal team decided it was time to switch to a more user-friendly platform. The challenge? They only had 35 days to launch their new tool.

"Our subscription was expiring, and we decided not to move forward another year with our previous platform," said Samuel Ratner, General Counsel at Spartan. "We were operating under a tight deadline because we had concerns over losing access to our existing agreements and needed to keep our team on track to process our high volume of new contract requests." 

But, from the beginning, Spartan felt reassured that IntelAgree offered the right CLM tool and the right implementation strategy to launch on time.

"It was very clear from the start that we were made a priority — we had daily debriefs, received timely answers to our questions, and information was flowing very efficiently," said Zachary Daniel, Deputy General Counsel at Spartan. "With only three attorneys and no staff running our legal department at the time, we could only dedicate so much time to rolling out the platform. But IntelAgree's implementation team made it easier by breaking down what they needed into bite-size pieces, so we could deliver it and circle back the next day to talk about what's next."

Spartan's legal team collaborated with IntelAgree to align business needs to the platform, assign permissions, migrate contracts, and create 10 new templates including MSAs, NDAs, venue agreements, and sponsorship agreements. In just five weeks, Spartan launched a CLM tool that provides all the benefits their previous system lacked: self-service functionality, contract visibility, and automated workflows.

End-to-End Contract Visibility & Efficiency 

Unlike Spartan's previous CLM platform, IntelAgree provides contract insights at a glance with customizable dashboards — a feature that's particularly helpful for CEO Joe De Sena. 

"Our executive team appreciates the streamlined dashboard because it's easier for them to check terms of contracts, get a quick summary, and move through the signing process," said Ratner. "Now, we don't just have a list of contracts; we can see exactly where things are in different stages and quickly sort through them." 

Previously, Spartan used a legal email inbox to collect contract requests. Now, internal clients are able to submit requests all through IntelAgree, making them easier to track and manage. Plus, with dynamic workflows, automatic email reminders, and a native eSignature tool, IntelAgree is an all-in-one contract management solution for Spartan.

"We're actually leaving our previous signature tool because, with IntelAgree, we have a one-stop shop," said Ratner. "Before, if I wanted to find some legacy documents, I'd either have to go into our previous signature tool account, contract management platform, or shared drive. It's nice to have everything in one place, and we're saving money this way, too."

 

Less Administrative Burden, More Self-Service Functionality

For Spartan, the intrinsic value of IntelAgree is the efficiency gained from providing a self-service tool.

"Our previous platform was more of a document management system — it didn't really allow our team to plug in questions about their contracts and find answers on their own," said Daniel. "We were fielding tons of questions about status updates through email, which was a huge time constraint for our legal team to stop what they're doing and answer questions. One of the benefits of IntelAgree is that our business teams can answer these questions themselves on where their contracts are in the process."

Now, Spartan’s legal team estimates spending approximately 33% less time reviewing requests, and the goal is to offload more work as the team expands. 

"The objective was to have a system where we can easily onboard whatever support staff we end up hiring in the future," said Daniel. "That job would have been impossible under the previous structure we had, and I think we can basically have a single hire at this point learn the tool and manage the intake of contract requests, which will open up our attorneys’ time to focus more on substantive review and negotiations."

But for now, Spartan is excited to have a platform that exceeds the multifaceted expectations of the organization. 

"IntelAgree has given us an enterprise-wide solution," said Daniel. "With our previous system, we were limited to a particular subset of contracts. The goal of finding a replacement solution — and what IntelAgree has delivered for us so far — is the ability to implement our entire contracting process company wide into a single place.
